Medical-Record Preparation

Hospitals review cases based on the records they receive. Incomplete, unordered, or untranslated records are one of the most common reasons international cases stall. We help you understand exactly what is needed, gather it, and assemble it the way clinical reviewers expect — shared only through a secure channel.

What’s included

  • A records checklist tailored to your child’s situation
  • Review of what you already have and what is missing
  • Guidance on obtaining records from your current physicians
  • Guidance on medical translation requirements and arranging translation support
  • Organizing records into a clear, reviewer-friendly package
  • Secure handling — records move only through the invited secure channel

What’s not included

  • Interpreting or explaining medical findings — that is a clinician’s role
  • Creating or altering medical documents
  • Guaranteeing that any set of records will lead to acceptance
  • Uploading records through public website forms or ordinary email — we never do this

Who it’s for

  • Families preparing a case for hospital review
  • Referring physicians who want their patient’s records to arrive in good order
  • Families seeking a second-opinion review of an existing diagnosis

Before we begin

  • A reviewed Start a Case inquiry and an invitation to the secure channel
  • Access to your child’s medical documents, or to the clinicians who hold them
  • Parent or legal guardian authorization to share records

What to expect

How it typically works

Every case is different, and no step below carries a guaranteed timeframe — but the order stays the same.

  1. Checklist

You receive a specific list of the records typically requested for a case like yours.

  2. Collection

You gather documents from your clinicians; we help when requests get stuck or unclear.

  3. Organization

We structure the records — history, reports, imaging, medications — into a complete package.

  4. Ready for review

The organized case is prepared for referral to an appropriate provider.

About fees

Every case is different, so fees for medical-record preparation are determined individually during the review of your case — and always confirmed with you in writing before any paid work begins.

FAQ

Common questions

Do records need to be translated into English?
U.S. hospitals generally require key records in English. We help you understand which documents need translation and how to arrange it. Requirements vary by provider.
How do I send you imaging (MRI, CT) files?
Through the secure channel we invite you to — never through the public website or email. We will explain the accepted formats when we get to that step, and keep it as simple as possible for you.
